Centre Director
The Centre Director’s (CD) key responsibility
is the smooth and efficient running of all aspects of the
centre. The CD must ensure that communication channels are open
between Head Office (HO) and all managers within their centre.
The role is a Senior Management position. The CD is expected to
take on and successfully handle a demanding workload which
involves implementing, participating and monitoring the
day-to-day management of the Centre and is ultimately
responsible for its smooth running. The CD is responsible for
maintaining an excellent working relationship with Host
School/College administrative staff (eg the Head, the Bursar,
the Lettings Manager and their staff).
KEY
RESPONSIBILITIES
●
Overall responsibility for the day-to-day
management of all aspects of the Centre
●
Ensure that all necessary materials and
equipment are in place at the Centre in time for the students’
arrival
●
Provide a comprehensive Induction to all
Centre staff
●
Lead daily team meetings with the Centre
management staff to ensure the smooth running of the Centre
●
Lead daily Foreign Group Leader meetings to
review the day ahead
●
Hold regular meetings with the appropriate
Host School/College administrative staff regarding meal numbers,
packed lunches, catering issues, student numbers/expected
arrivals
●
Create a strong and clear line of management
working closely with the Centre management team to deliver a
successful summer programme
●
To ensure that high levels of student safety
and welfare are maintained with particular attention given to
individual students.
●
To ensure that school rules are adhered to
and to be responsible for all aspects of student behaviour
●
Create an effective and positive staff team
ensuring that all staff are motivated and carry out their role
and duties to a high standard
●
Liaising with HO in respect of staff pay
details, where appropriate
●
Ensure that information is accurate and
clearly displayed in Ardmore office (eg staff rotas, staff
mobile numbers, group arrival/departure times etc)
●
To manage staff effectively to ensure:

HO receives accurate and current data
on student and staff numbers

that the teaching and activity programmes
are implemented effectively
-
Centre administration and documentation
is carried out efficiently
-
damages, equipment and resources are
recorded and monitored throughout the course
-
all serious incidents are dealt with and
reported to HO

security and safety of students, foreign
group leaders and staff at all times

student and staff discipline is
maintained
-
appropriate staffing levels are
maintained at all times (in consultation with HO)

To assist and support the Centre management
team in residential supervision duties including meal
supervision, bedtime supervision and additional welfare duties
on a rota basis.
●
To check and approve the petty cash budget
within the Centre as prepared by the Centre Administrator
●
To teach, when necessary, but only in an
extreme emergency e.g. multiple teacher absence through sickness
(applies to qualified staff only)
●
To set up and close the Centre at the end of
the course and submit an end of Centre report to HO including
staff appraisals
●
To ensure that Ardmore Language Schools
Health & Safety policies and security registers are implemented
and adhered to at all times.

Centre Administrator
The Centre Administrator’s (CA) key
responsibility is the smooth and efficient running of all the
administrative aspects of the centre. The CA must ensure that
communication channels are open between Head Office (HO) and all
managers within their centre. The CA reports to the Centre
Director (CD) to ensure the smooth day-to-day running of the
academic and recreational programme. The CA is responsible for
maintaining an excellent working relationship with all members
of staff of the host School/College eg the Head, the Bursar, the
Lettings Manager and their staff.
KEY RESPONSIBILITIES
●
To ensure high levels of student safety and
welfare are maintained and school rules are adhered to
●
To set up the Ardmore office in the host
centre
●
To make sure that the answering machine is
set up with a clear message and switched on as and when the
Ardmore office is not manned
●
To check the First Aid boxes on a weekly
basis
●
Responsibility for the general welfare of the
students
●
To collect in and keep accurate daily
headcounts for submission to HO to include class registers, fire
drill records, fire lists, absenteeism records and final number
certificates
●
Responsibility for making sure that the
Accident Report Book is completed
●
Responsibility for making sure that the
Complaints Book is completed
●
To collect in weekly staff timesheets (where
applicable) for submission to HO
●
To assist the Head of Pastoral Care (HPC)
with liaison with cleaning staff regarding the arrival and
departure of students
●
To assist the HPC with bed linen changes &
the laundry system
●
To assist the HPC by liaising daily with HO
regarding student transfers
●
To liaise with local taxi and coach companies
●
To assist the CD in providing catering
figures to the host centre catering office as and when required
●
To deal with emails/telephone calls/faxes
from Agents and HO
●
To plan and book any extra excursions
●
To take minutes in meetings as requested by
the CD
●
To ensure that Centre administration and
documentation is carried out efficiently
●
To keep records of damages, equipment and
resources and monitor throughout the course
●
To represent Ardmore Language Schools
positively and with confidence in all conversations with
students, Foreign Group Leaders, staff and the host Centre staff
●
To take responsibility for petty cash and its

emailed to HO at the end of each week

Director of Studies (formerly Head Teacher)
The Director of Studies (DOS) key
responsibility is the implementation, smooth running,
administration and, ultimately, successful delivery of all
aspects of the Summer School Academic Programme. The role is a
Senior Management position therefore the DOS is expected to
fulfil a demanding workload.
KEY RESPONSIBILITIES
●
Implementation and overall day-to-day
management of all aspects of the academic programme
●
To manage the teaching staff to create a
positive, enthusiastic team to deliver a high quality programme
ensuring student satisfaction
●
To lead the Induction Day for EFL Teachers
●
To observe and appraise all teaching staff
providing support and guidance on all aspects of lesson
preparation and delivery
●
Time-tabling classes
●
To organise and manage the placement and exit
testing of students, academic time-tabling, course planning,
student questionnaire analysis and student certificate delivery
●
Monitoring teaching staff levels to ensure
that the appropriate staffing levels are maintained
●
To run weekly Planning Workshops for all
teachers
●
To ensure that all lessons start and end on
time
●
To check class registers on a daily basis to
ensure against student absenteeism
●
To source materials for the excursion lesson
and help teachers in planning this lesson prior to an excursion

To organise and oversee the delivery of
Trinity exams (if applicable at centre)

EFL Teacher
The EFL Teacher’s key responsibility is the
preparation, co-ordination and teaching of English as part of
the academic programme. All EFL Teachers report directly to the
Director of Studies (DOS) and work with them closely to assist
in the student testing, timetabling, progress monitoring and
administration of EFL classes. For many students, this may be
their first visit to England. It is of particular importance
that all students enjoy their classroom experience so that they
return home even more enthusiastic and committed to learning
English.
KEY RESPONSIBILITIES
Teaching and Academic:
●
To teach 30 hours per week
●
Arrive punctually for classes (i.e. before
the lesson begins)
●
To assist the DOS with student testing and
placement
●
To teach English to a high standard following
the syllabus set out in the Ardmore Language Schools’ workbooks
and academic programme
●
All teaching materials and lesson plans are
provided for teachers, therefore preparation time is not
expected to be too onerous
●
To prepare and deliver lessons with the aim
of achieving the objectives and outcomes of the Ardmore Language
Schools’ syllabus
●
To use teaching techniques that are
appropriate to the level and needs of the students making every
effort to create a positive learning environment enabling
students to participate purposefully in the lessons
●
To make lessons stimulating and enjoyable
with particular emphasis on the practical use of the English
language (eg speaking and listening skills)
●
To administer and mark course assessments
tasks as well as marking placement and exit tests
●
To maintain excellent class administration
including lesson preparation, class registration and monitoring
student progress
●
To advise the DOS of any student who is
misbehaving in class, absent from lessons; or any student
welfare concerns (eg bullying, students who are withdrawn, not
joining in) with particular attention to individual students
●
To ensure that, in the lesson prior to an
excursion, students are prepared and informed about their
forthcoming excursion (eg class discussion, handouts etc)
●
To complete individual student Progress
Reports and issue final Certificates to students
●
To be willing to share best practice with
colleagues

day excursion (when necessary, on a rota basis)

Head of Pastoral Care
The Head of Pastoral Care’s (HPC) key
responsibility is the overall welfare of the students;
ensuring they are safe, secure, happy and respect other
students, staff and the facilities. The HPC must ensure
that all staff are allocated in bedrooms spread around the
boarding houses to ensure the effective supervision of all
students; with particular attention to be given to
individual students. The HPC must supervise other staff
in night duties from 10.00 p.m. to 1.00 a.m. for four
nights a week. The role is a Senior Management position
therefore the HPC is expected to fulfil a demanding
workload.
KEY
RESPONSIBILITIES
●
To ensure the provision of an excellent
level of pastoral care for every student by ensuring that
students are adjusting to cultural differences and that
their religious and dietary needs are met and respected;
with particular attention to be given to individual students
●
To help set up the centre prior to
student arrival and assist with accommodation planning and
room allocations for groups and individual students. It is
Ardmore’s policy not to insist on mixed nationalities in
bedrooms. However, we do encourage mixed nationalities in
each residence (except where a large group has particularly
requested to be accommodated as a mono-national group)

To manage a team of Senior Welfare
Leaders with responsibility for the pastoral care and
welfare of the students at all times including any
non-residential students

To carry out pre-arrival and departure
checks and room inspections

To run a weekly Welfare Desk to

with the assigned Senior Welfare Leader, for students
travelling as individuals

To ensure that all fire and safety
procedures are displayed and adhered to

To provide orientation meetings for new
students showing them to their accommodation

To make sure that Ardmore Language School
(ALS) Student ID cards have been given to all students prior
to excursions
●
To deal quickly and efficiently with any
complaints or issues relating to the accommodation and
welfare of the students

responsibility is the overall welfare of the students to

Sports/Activities (HSA) in this role. The SWL will be
required to assist other staff in night duties from 10.00
p.m. to 1.00 a.m. for four nights a week.

Head of Sports/Activities
The Head of Sports/Activities (HSA) key
responsibility is the implementation, smooth running,
administration and, ultimately, successful delivery of all
aspects of the Summer School Recreational Programme (day
time activities, evening entertainment and excursions). The
role is a Senior Management position therefore the HSA is
expected to fulfil a demanding workload.
KEY
RESPONSIBILITIES
●
To plan and deliver a high quality
activity and excursion programme. This will involve creating
a highly motivated team of activity staff and promoting fun
and enthusiasm between staff, foreign group leaders and
students
●
To manage, train and regularly observe
all activity staff and write a performance review at the end
of their contract
●
To effectively plan and manage all
day-to-day activity staff rotas ensuring all activity staff
are prepared and present at their activity sessions and that
the activities programme and academic programme are
integrated successfully
●
To ensure all activities are advertised
and promoted ensuring that notice boards and posters are
updated and presentable
●
To ensure that all students take part in
all activities and excursions, with particular attention
given to individual students
●
Lead daily team meetings with all
Activity Leaders to get feedback on how the activities have
gone and whether there are any concerns about any students
with particular attention given to individual students
●
Attend Centre Management and Foreign
Group Leader meetings as necessary
●
To liaise with HO on the stock of
activity material, centre hired items and return of all
unused stock
●
To assist and support the centre
management team in residential supervision duties, including
meal supervision, bedtime supervision and additional welfare
duties on a rota basis

Activity Leader
The Activity Leader (AL) is responsible
for the smooth and successful delivery of the activities
programme (co-ordinated by the Head of Sports/Activities (HSA)).
The role of the AL is pivotal to the promotion and delivery
of the activity programme, ensuring students are motivated
and all activities are run to a high standard. The AL is
responsible for making sure that all students are involved
in the various activities paying special attention to the
individual students.
KEY
RESPONSIBILITIES
●
To organise and implement a wide range of
activities during morning, afternoon and evening activities
as directed by the HSA
●
To promote the weekly activity programme
●
To be enthusiastic and motivated in
delivering the activity programme
●
To participate in, lead and supervise
activities
●
Applicants holding specialist
qualifications will be required to undertake duties such as
pool duties / sports coaching and first aid provision*

To play a pivotal role in guiding and
organising students on excursions

To assist the HSA in maintaining student
behaviour, safety and welfare whilst on duty
●
To assist in the opening and closing of
the centre as directed by the Centre Director/HSA and
accounting for the return of all equipment at the end of the
course to the HSA
●
To carry out residential duties on a rota
basis, including meal supervision, lights out duties, room
checks and additional duties as required
●
To ensure that individual students are
integrated with other students in activities and on
excursions
●
To report to the HSA any students who
appear unhappy, not joining in, misbehaving etc

WORKING WEEK:
The AL will work14 sessions (42 hours)
based on a 21 session week (1 session = 3 hours).
The AL reports directly to the Head of
Sports/Activities (HSA).
